Uploading an invoice POP
How tenants submit proof of payment so rent clears fast and accurately.
Proof of Payment (POP) uploads are the bridge between your bank app and your landlord’s ledger. Get this right and rent reconciles within the day.
As a tenant
- Open the tenant portal at southpropman.com/app.
- On your dashboard, find the invoice you’re paying against and click Upload POP.
- Pick the outstanding invoice from the list, attach the proof (PDF, JPG or PNG from your bank app is fine).
- Fill in:
- Declared amount — the exact figure you transferred, in the invoice’s currency.
- Date paid — when the transfer left your account.
- Reference — whatever your bank gave you. Helpful but not required.
- Submit.
Your landlord gets a notification and reviews the POP. You’ll see its status (pending, accepted, rejected) on the invoice row.
As a landlord
POPs submitted by tenants land in Invoices → Review POPs. For each one you can:
- Accept — the invoice is marked paid, a receipt entry is posted, the tenant is notified.
- Partial-accept — if the POP is short, accept what was paid and leave the balance open.
- Reject — send it back with a reason (common: wrong amount, unreadable attachment, duplicate).
Accepting a POP is irreversible. If you accept a fraudulent one, reverse it through the ledger, not by un-accepting.
Troubleshooting
The upload fails on mobile. Files over 10 MB are rejected. Most bank-app PDFs are well under that. If you’re trying to upload a photo, switch to a smaller resolution in your camera settings.
The tenant says they paid but no POP is showing. They may not have submitted it. Ask for a forward of the bank confirmation email — you can accept that as a POP manually from the invoice row.
For the landlord: turn on auto-match under Settings → Banking to have POPs whose amount and reference match an open invoice automatically accepted. You’ll still be notified, but one less click on the common case.
